I’m excited about following a routine and getting to 5.30pm without too much stress and disappointed that I haven’t completed everything that I needed to and also being able to look back on a successful day. I have had to make other tasks a priority including booking an in-house lunch for the CEO for a meeting tomorrow.
So, the very best advice I can give you around how to write good minutes is to read other people’s minutes and start to work out what’s good, what isn’t; what fits your style, and what doesn’t. Ask yourself though, if someone who wasn’t at the meeting was to read these minutes, would they learn something?
Good time management skills can help reduce confusion, stress, and even workload levels, so there are many benefits to making sure that time is well spent. Check: Are phone calls planned? For each one, write down what you hope to accomplish with the phone call to help you stay focused. Check: How much time is spent on e-mail?
An e-mail like the one I received would have been better delivered face to face or by phone in order to get the tone of what the person was trying to communicate. I stop the flow and pick up the phone. It is amazing how quickly a matter can be handled on the phone or in person. Why are we not speaking to each other anymore?
When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. 5, 2010 at 12 p.m.
The cure: always answer the phone professionally - this way youre never caught off-guard. I agree that we should always answer the phone professionally, but if it is a co-worker calling, it seems silly to say "Patricia Robb speaking, Executive Assistant to the CEO, may I help you?" This meeting was held out of town and those are a bit more hectic because I cant easily go to my desk to get what I need. Some things I have on this list is a memory stick with the minute templates, tentcards, meals ordered, meeting packages, pen, notebook, highlighter, calculator (I hate math so just in case they ask something that requires mathematical skills) and attendance records to establish quorum for each meeting. It is interesting work.

If I forgot to bring my laptop with me to a meeting out of town, that would be an almost disaster for me because I prepare my minutes ahead of time on my computer and basically all I have to do at the meeting is fill in the blanks.
