As an assistant of 20 years, I had one perspective of meetingmanagement. But now that I am the executive involved in numerous meetings, I can tell you what really is important. You must keep these things in mind when you are managing your executive’s calendar. Calendar management is an important skill.
Not all people who planmeetings are “meeting planners,” nor do all meeting planners start out their careers as meeting planners. I for one, started out on a clerical/administrative path with absolutely no knowledge at the time that a career in meetingplanning even existed (and at the time it probably didn’t).
They feel they have been managing calendars or planningmeetings forever so why pay attention. For 28 years, I have been teaching assistants to pay attention to the fundamentals such as meetingplanning, travel planning, calendar maintenance, organizational skills, follow-up systems, time management, and communications.
Not all people who planmeetings are “meeting planners,” nor do all meeting planners start out their careers as meeting planners. The first time I became involved in planningmeetings was in my role as an office manager/prospect donor researcher in the Grants and Development Office of a state university.
I wanted to know the areas the assistants were interested in growing and learning about. If you want to be viewed as a strategic partner and considered an extension of the management team, you need to make time to look at your own development. For example, what are the skills you need to be excellent at meetingplanning?
A meeting planner by MY definition is the go-to person and should be a key member of the design (or planning) team within an organization — be it corporate, association or otherwise — charged with the responsibility of planning and executing a meeting or special event. Planners take their craft seriously.
It’s an exciting and unique time in history that we work with such a diverse group of peers; varied age ranges, varied technologies and learning levels, traditional and experienced based education, etc. A willingness to learn and confidence to teach creates the roadmap to keeping our professional world evolving and relevant.
When my manager or other person gives me an assignment or task, I am often told that they need it as soon as possible. This is especially important if you support more than one manager. Be sure to confirm with your manager their definition of an “A” priority vs. a “B” priority. ¨ Start a log sheet.

I’ve attended numerous seminars in leadership, time management, MS Word, Excel, Outlook, meetingplanning, event planning, and disaster recovery planning (Joan Eisendot and her website are fantastic resources) as well as is Tyler Davidson at Meetings Focus magazine/website, and freely shared the knowledge with my peers and anyone who asked.
One person can be great at software programs and know all sorts of tricks to get things done quickly and another might be excellent at organizing and managing their email account. I have been on some interactive sites where assistants ask questions and get answers and I learn from them as I have some of the same questions.
I did do research however and read as many articles and books on the subject that I could and then I tackled the article and actually learned something while doing it. I am sure I could have done well as I have learned nearly everything there is to know about getting someone from point A to point B. I helped my husband occasionally with his Event Management Projects and when it came to graphics I always took his help, I still do. Another time I wanted to try a career in the travel business.

What I learned very quickly was that I had to finish one room at a time. Being on the phone was a very important part of my day and it was still going to take a big part of my time, but I could better manage it by scheduling a time to make my phone calls. Break it down into chunks and prioritize your work on a to-do list.
It used to be the secretary did everything for the boss, now the executives do a lot of their own administrative work, such as email management, so a background as an admin assistant can certainly help. You should stay in the position for long enough to make what youve learned stick to be fair to yourself and the organization who hired you.
