Try to anticipate the need so you can have the file or the answer your boss needs, before he or she even knows they need it. Be protective of your boss’s time. A good assistant knows just where to find the document or file needed, or they won’t stop looking till they do. Be one step ahead of your boss.
If the meeting is by teleconference you should have call-in numbers typed in the meeting notice. If the participants are in different timezones it would be beneficial to put that information in the meeting comments.
I keep mine in an encrypted Word file on my computer. I also have an encrypted file with various other important numbers like my and my husbands social security numbers and the like. At one office I worked in we had a mail cart with slots for everyones mail, but it was filed First name, Last name. My boss will give me items that he wants brought forward on certain dates and I just put it in the appropriate month he wants it with a note on it with the date, and sometimes time, he needs it by and it is as simple as that.
