Centers will also need to be responsible for keeping their own and their clients’ documentation and IDs up to date. One problem with the current system is that centers are supposed to keep a hardcopy file of every client’s information forever, even if that client moves on. When is this happening?

Try to anticipate the need so you can have the file or the answer your boss needs, before he or she even knows they need it. A good assistant knows just where to find the document or file needed, or they won’t stop looking till they do. Be one step ahead of your boss. Be protective of your boss’s time.
I have gotten in the habit of doing this frequently during the day and hardly even think about it until the system shuts down for some reason and then I breathe a sigh of relief when I open the document (by pressing Ctrl + o by the way) and find that I have not lost any of my work. Ctrl + a - Selects the whole document.
Recently I was working with someone on an Excel document. They sent an e-mail wondering if any of the assistants could help them export a document from Excel to Word. Unlike Word you will only see the header repeated when you do a print preview or print the document. Or if you want to attach a file, choose Attach File.
Tried and True Method: I set up 12 hanging file folders labelled January through to December. I then put the items in a two-fold file folder with his calendar printed out on the one side and the items he will need for the day on the other side. The system I use is quite simple and has been around for a long time. Thats great!
Providing administrative support is a big statement and can be anything from arranging a meeting, making a reservation at a restaurant for a business luncheon, bringing items forward for action, following up for your boss, making travel arrangements, data entry, taking minutes, drafting letters, preparing correspondence for distribution, typing reports, (..)
Of course my comments are limited because the subject matter is not my expertise, but he relies on my input and corrections to make the document look good. Get any files they may need as a result of the e-mail correspondence. Many times I need to proof text and comment with my thoughts before he even looks at it. THanks for sharing!
This can be as simple as having hanging file folders marked from January to December and then you just put items in the appropriate month that you need to bring forward for your boss. Bring Forward System or Using Tasks in Outlook Have a system to follow up on items your boss has asked you to do or things you know you need to do.
