Not all people who planmeetings are “meeting planners,” nor do all meeting planners start out their careers as meeting planners. I for one, started out on a clerical/administrative path with absolutely no knowledge at the time that a career in meetingplanning even existed (and at the time it probably didn’t).
At our recent Annual Conference for Administrative Excellence , I surveyed 350 attendees about the topics they would like me to address at future conferences or training events. If you want to be viewed as a strategic partner and considered an extension of the management team, you need to make time to look at your own development.

The first time I became involved in planningmeetings was in my role as an office manager/prospect donor researcher in the Grants and Development Office of a state university.
The diverse team has combined organizational and time management skills, event and meetingplanning, business savvy, continued professional development drive and so much more to ensure success and positive outcomes. A multigenerational team offers executives and managers more than just support assistance.
If you have overheard members of the Committee complaining about certain aspects of the room arrangement suggest to your manager that you change the location or at the very least introduce more breaks so that they are not in continual discomfort. The timing of meetings. The agenda. Do you enjoy that part of your role or dread it?

Their duties include (but are not limited to) answering and screening calls, meeting and greeting clients and customers, maintaining executives calendars, writing correspondence, generating reports, meetingplanning, filing, travel arrangements, maintain client/customer data records, supervising others, and the list goes on.
What better candidate to take on that role as a career, than the assistant who regularly plans events from small meetings to large conferences. Some examples would be managing a company website, creating, editing and writing a company newsletter or creating promotional materials, invitations and brochures for marketing events.
Every office needs different systems to run smoothly, but most administrative professionals will require most or all of the systems in this core group: Time and task management. Travel planning. Meeting and event planning. Project management. Reserve the conference room. Order food for the meeting.
What better candidate to take on that role as a career, than the assistant who regularly plans events from small meetings to large conferences. Some examples would be managing a company website, creating, editing and writing a company newsletter or creating promotional materials, invitations and brochures for marketing events.
Networking at a conference does little good if you never speak with the person after the event. If you meet someone at an Administrative Assistant conference, for example, make sure to follow up with that contact within a week or two after the event. If you discussed a need at the conference, be sure to address it.

Our office manager updates it every morning. Recently, we wanted to see who was off site and at what event, so we decided when people are away at conferences, etc. For instance if I was going to be away to attend a conference I would put: Pat off site (IAAP/Toronto) This way we can keep track of who is going where, when.
If a conference comes up and they are looking for someone to do the registration, we can step in and do that or we can organize it from start to finish. I love the planning, organizing and running around that goes into bringing a conference from a thought to a successful event. State the purpose of the meeting in the calendar appointment as well as who will be at the meeting (i.e. Meeting with Mr. Brown and Ms. Smith to discuss strategies for upcoming marketing conference). Follow up with the meeting organizer to request agenda and/or meeting materials, pre-reading, etc.
A good bring-forward system is a must for this as you will want to bring forward items they will need for meetings and conference calls. Remind them verbally as well when you meet with them. I’ve attended numerous seminars in leadership, time management, MS Word, Excel, Outlook, meetingplanning, event planning, and disaster recovery planning (Joan Eisendot and her website are fantastic resources) as well as is Tyler Davidson at Meetings Focus magazine/website, and freely shared the knowledge with my peers and anyone who asked.
One person can be great at software programs and know all sorts of tricks to get things done quickly and another might be excellent at organizing and managing their email account.
