Yes, I had got up to make the odd cup of tea or make a quick trip to the bathroom but I hadn’t been out for lunch or in any meetings that day so effectively I had been sitting in my chair at my desk for a good 8 hours. I seriously count on my calendar to keep track of what I’m supposed to do, and when, and it’s my first-used tool in just about everything I do. I calendar (in Outlook) everything during my work day (generally 8a-6p, M-R).

Yes to Michael Kors’ party, I want the driver to drop me off at 9:30 and pick me up at 9:45 sharp. Similarly I have a large A4 desk pad next to my keyboard for any quick notes I need to make, things to remember (like phone numbers for instance), and tasks people give me at my desk. Calendars are not just for appointments.

  When problems came up, they were resolved efficiently so that we could get back to work.   I back up my computer using Carbonite to the cloud.   When something does not work well, I would drop my computer off at the desk and they'd fix it in a few hours and I'd be up and running again. so I thought.

In other words, I wanted to be able to access my email, calendar, tasks, and notes from anywhere. The Tasks in Google Calendar is measly and doesn’t have the ability to set priorities, recurring tasks, and, most importantly, synch with my phone. You can scan in UPC codes or look up food items by restaurants and fast food stands.

I also have many contacts and calendar items. There’s a big lag between what I type and what shows up on the screen. What’s worse is that as the keyboard is getting more use, it’s not as sensitive. What’s worse is that as the keyboard is getting more use, it’s not as sensitive.

Our organization uses Google Apps for our e-mail, calendar and cloud solution. Thanks to Deborah Erickson, CPO of No Where But Up,Organizing 4. You can set them up to send all emails from a particular sender to a folder to make it easy for you to find. Sometimes we end up on a lot of lists that we had not intended to be on.

In the Advanced/General preferences panel, you can set Postbox to use Gmail’s keyboard shortcuts and you can also create events within Google Calendar for detected dates. REM 5pts How easy is transfering about 300 mailboxes with up to 70Meg of messages from Eudora (mac) to Postbox? Postbox is rubbish.

My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). No surprises!

Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder.

To set a recurring 9-5 meeting (as opposed to clicking all-day meeting) I dont like the all-day meeting settings as they are out of sight at the top of the calendar and easily missed. His calendar then shows blocked time and nobody misses seeing that he is away. Your bosses calendar will now show Monday to Wednesday blocked from 9-5.

Once a date is finalized I put it in my bosss calendar and confirm the meeting with the other participants. Another benefit to writing it down is if your boss asks you to cancel it or to quickly tell you when the meeting is, you can look at the sheet rather than trying to search for it in your calendar. Minute taking made easier.

If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. I can hardly keep up with my own e-mails at times let alone someone elses account, but that is part of my job. If there are any deadlines or appointments, put them in your boss’s calendar or task list with appropriate reminders. Does it raise a question for you to follow up with your boss?
