Your boss calls you up and tells you that you need to add an agenda to this meeting, but you don’t want everyone to get the meeting request again and have to accept/decline it. Trust me, people start to get irritated when this happens over and over again.
Do you ever get a meeting request and an agenda has not been provided, or if it is a teleconference the call-in details have not been given or the boardroom hasnt been booked for an internal meeting? My goal for this blog is to give good tips and ideas and occasionally put a smile on your face as you start your day!Lets
Plan out an agenda of all points that will need to be discussed. The Timekeeper would make sure each topic is covered within the amount of time mentioned on the agenda. If the person isnt responsible for any of the items discussed in this meeting, dont invite them. The facilitator would hold the meeting and introduce each topic.
This does increase the preparation time, but on the day of the meeting it goes very smoothly with no stress. To prepare a minute template simply use your agenda and put it in minute format. Under each agenda heading you can then record the appropriate information when you are in the meeting.
Below are a few tips so the task is not as daunting: Filling in the blanks I take minutes on a laptop so it is easy to make a template ahead of time which is based on the agenda. I put the items from the agenda on the template in the same order and with a space to put the discussion and decisions/actions from the meeting.
What dates and times does he or she have available (keeping in mind timezones for away meetings)? Secure the date and time in his or her calendar, taking into consideration traveltime if outside the office. Follow up with the meeting organizer to request agenda and/or meeting materials, pre-reading, etc.

Every time I use a bus ticket, I keep a mental inventory so I know when I need to buy some more and dont show up at the bus stop one morning and Oops! The night before I go to a Board meeting, I review all my templates, agendas, binder, attendance sheets and everything I am going to need or might need. no tickets. Do I have everything?
I put it in the order of when he will need it and flag anything that he will require for teleconferences, meetings and travel. For instance, if your boss is travelling on the Monday, you will have to give him or her everything they will need on Friday. I do this for each day of the week.

If he is travelling, I send it by e-mail, but it has been my experience that I will get better results with a face-to-face meeting. Most times dragging and dropping into my Tasks works for me, but if the e-mail and attachments are needed, then click on the Insert Tab and choose Insert Item and then you can choose the e-mail you want.
The reality of being an EA is that while the phones, calendar, and travel are essentially the same in every office your boss and your team are always unique people with their own work styles and needs. So bring your experience, wisdom, and people skills to the table, but have a “I’m green, hungry for the job, I’ll hustle” attitude as well.
Most of the time, digital friendships last as long as the underlying hidden agenda’s of both parties last. You live in different timezones, you may have different interests, or different family lives. Now before I travel, I make sure I don’t cross the path of another blogger friend.
